Job summary

The post holder will be a key member of the Designated Professionals team working as administrative support to the Designated / Deputy Nurses Safeguarding Children and Children in Care, North Yorkshire and York, and work closely with the Designated Doctors, and the Named Nurse Primary Care. The Designated Professionals provide a strategic and professional lead across the health community on all aspects of safeguarding children and meeting the needs of Children in Care. The Team is a key source of expertise for the ICB, NHSE/I, partner agencies and the Local Safeguarding Children Partnerships. The Team works closely with safeguarding colleagues across the health economy supporting professional development and provide advice and supervision in highly complex safeguarding cases.

The position entails providing efficient and comprehensive secretarial support for the three Designated Nurses Safeguarding Children (DNSC) and the Deputy Designated Nurse (DDNSC) for North Yorkshire and York. The main priority of the post is to ensure that all administrative tasks are dealt with quickly and efficiently. Duties involve diary management, minute taking, report typing, managing general correspondence and meetings. Additionally, the role supports the efficient sharing of sensitive and high risk information with Primary Care and as necessary across the health economy

Main duties of the job

The successful candidate will be an excellent communicator with strong interpersonal skills, who is able to work as a member of a team as well as independently. The post holder will be required to manage the DNSCs / DDNSC's e-mail communication, diary/correspondence and time commitments appropriately. The successful candidate will be required to arrange meeting dates/times/venues for a wide variety of health and non-health professionals in a variety of locations around North Yorkshire and York, and to take, transcribe and disseminate the minutes from these meetings. The post holder will be required to have a thorough understanding of Data Protection legislation in order to fulfil the requirement of managing complex, sensitive and confidential information related to Safeguarding Children. Due to the sensitive and often distressing nature of the work, the post holder would need to have a mature outlook and a robust understanding of the paramount need for confidentiality. The post holder will be based at Racecourse Lane Northallerton and will be able to travel on occasions for work related business around meeting sites in North Yorkshire and York.

Work closely with colleagues within the safeguarding team to support the effective communication with primary care regarding high-risk domestic abuse cases (Multi Agency Risk assessment conferences MARAC's)

Work with colleagues within the safeguarding team to ensure appropriate attendance at Multi Agency Public Protection Meetings (MAPPA) and effective communication with Primary Care and the wider health economy as required.

Work closely with colleagues within the safeguarding team to support effective communication with the health community for cases where children are at risk of exploitation.

To maintain the DNSC/DDNSC diary/correspondence, manage time commitments appropriately.

To manage storage of sensitive and non-sensitive data in accordance with the Data Protection legislation and ICB information governance policies and procedures.

To prioritise own workload to meet the needs and commitments of DNSC / DDNSC including arranging meeting dates/times/venues for a wide variety of health and non-health professionals.

To deliver high quality written oral and electronic communication to meet the needs of post.

To take, transcribe and disseminate minutes of a variety of meetings in a variety of locations around York &North Yorkshire.

To develop and manage mail, agendas of meetings organised or chaired by DNSC /DDNSC including promoting active contribution to agenda from meeting participants.

To provide and receive complex information related to Safeguarding Children including agenda development, to staff within the ICB, other health providers and partner agencies.

  • GCSE English and Maths at C or above or equivalent.
  • Secretarial qualification to NVQ2/RSA or equivalent experience with demonstrable IT and secretarial skills
  • Knowledge of a variety of software programmes such as word, Excel, Publisher, PowerPoint.
  • Clear understanding of principles of confidentiality.

Desirable

  • European Computer Driving Licence (ECDL)
  • Evidence of relevant professional development
